Total Group is seeking a highly organized and adaptable Safety Operations Administrator to support both our administrative functions and field safety operations. This is a role ideal for someone who can manage office workflows while also contributing to safety coordination, training support, and occasional field-based work.

This position plays a critical role in keeping our operations running smoothly. Supporting project coordination, workforce logistics, and safety program delivery.

Key Responsibilities

Administrative & Operations Support

  • Perform general administrative duties including data entry, paperwork filing, and document management

  • Handle emails and phone calls with internal teams, external partners, and clients

  • Assist with equipment tracking, organization, and light cleaning/maintenance of work areas

  • Coordinate scheduling of safety personnel, training, and project deployments

  • Manage documentation, certifications, and compliance tracking (ISN, client requirements, etc.)

  • Assist with onboarding, employee communications, and record management

  • Support quoting, invoicing, and general administrative workflows

Safety & Field Support

  • Assist with coordination of standby rescue teams and safety coverage for projects

  • Support training logistics and occasional instruction (depending on qualifications)

  • Liaise between field teams and office to ensure smooth communication

  • Provide general operational support during shutdowns/turnarounds

Job requirements

Qualifications

  • Strong organizational and multitasking abilities

  • Experience in administration, operations, or coordination roles

  • Excellent communication skills (written and verbal)

  • Ability to work in a fast-paced, project-based environment

  • Safety industry experience or interest is considered an asset

  • Certifications (CSE, First Aid, Rescue, etc.) are an asset but not required

  • Experience working within or supporting an ISO 45001 Occupational Health & Safety Management System is considered an asset

Location Requirement (IMPORTANT)

This role is based out of the Elora/Guelph area. Priority will be given to candidates located within a 20-minute commute. Due to the nature of the role, only local applicants will be contacted.
